To effectively sell their new AI workshops, the client needed a way to show prospects, often from diverse industries, how ChatGPT could specifically address their unique business challenges and improve efficiency. Generic examples wouldn’t suffice; they needed a personalized touch to capture attention and illustrate tangible benefits. The key question was: how could they provide tailored AI insights at scale without a massive manual effort?
The Build: Crafting a Smart, Automated Solution
The solution was an intelligent workflow designed to take prospect input and transform it into a personalized list of AI-powered suggestions, delivered in a professional document. This was achieved using Google Forms, a custom ChatGPT Assistant (via its API), Make.com (formerly Integromat) for workflow automation, and Google Docs.
The development was approached in two distinct, automated phases:
Phase 1: Building and Maintaining the AI’s Knowledge Base
The foundation of this smart system is a robust, up-to-date knowledge base of potential AI use cases, managed and refreshed through an automated Make.com scenario.
- Data Source & Update Trigger: A comprehensive list of AI use cases was compiled and maintained in a Google Sheet. The automation regularly searches this sheet for new or updated entries.
- Processing and Upload: For each new use case, the system prepares the information (e.g., using text aggregation tools within Make.com) and uploads it as a file to a dedicated Vector Store associated with the custom OpenAI Assistant. This Vector Store acts as the Assistant’s specialized knowledge library.
- Efficient Tracking: After successfully adding a use case to the Assistant’s knowledge, the automation updates a status field in the Google Sheet (e.g., marking it as “processed”). This ensures that use cases are not duplicated and that the system efficiently manages updates.
- Continuous Improvement: This automated workflow is designed to run weekly, ensuring the AI’s suggestions remain fresh, relevant, and reflect the latest additions to the Google Sheet.

Phase 2: The Prospect Engagement Workflow
With a knowledgeable AI Assistant in place, the second phase, also automated via Make.com, focuses on the prospect interaction and personalized document generation:
- Prospect Input: Potential clients fill out a simple Google Form, answering three key questions:
- What does your organization do? (e.g., butcher, travel agency, non-profit)
- What is the website of your organization?
- Which specific process do you believe AI could help you with?
- Intelligent Processing: The Make.com workflow “watches” for new Google Form responses. When a new response is submitted, it triggers the automation.
- Querying the AI Assistant: The submitted answers are sent as a message to the custom ChatGPT Assistant via its API.
- Personalized Use Case Generation: Leveraging its specialized Vector Store knowledge (continuously updated in Phase 1) and the prospect’s specific answers, the ChatGPT Assistant identifies and formulates 10 highly relevant AI use cases.
- Data Extraction and Formatting: The AI’s response, typically in JSON format, is parsed by Make.com to extract the 10 use cases. Text aggregator tools then format this list, combining it with a pre-defined introduction and conclusion.
- Automated Document Creation: Make.com then populates a pre-designed Google Docs template with this compiled, personalized content.
- Ready for Review: The finalized Google Doc, featuring personalized AI insights, is automatically saved to the client’s Google Drive. It’s then ready for a quick review by the client’s team before being emailed directly to their prospect.
